Privacy Policy

1. What We Collect

When you sign up or contact us, we may collect:

• Your name
• Your email address
• Your company name
• Your IP address (automatically via our analytics tools)

When you use the Tree Service Software CRM, we may also collect the business information you add to the service, such as customer records, job details, estimates, invoices, scheduled visits, messages, uploaded files, account settings, and team user information.

If you choose to connect Google Calendar, we collect and store the Google account identifier and email address returned by Google, the OAuth permission scope you granted, your selected calendar identifier, encrypted OAuth tokens needed to keep the connection working, Google Calendar event identifiers created for synced jobs, and sync status or error information. We also send the job visit information needed to create, update, or delete the matching event in your Google Calendar, such as job title, scheduled start and end time, service address, job or visit notes, assigned team member, customer contact details, and a link back to the job in Tree Service Software.

We never sell your data.

2. How We Use Your Information

Except for Google user data, which is used only as described in the Google User Data section below, we use your information to:

• Send you product updates or announcements
• Let you know when our product is live
• Improve the website and CRM based on non-Google analytics and usage data
• Provide, maintain, secure, troubleshoot, and improve the Tree Service Software CRM

3. Google User Data

Tree Service Software uses Google user data only to provide the Google sign-in and Google Calendar features that you choose to enable. For Google Calendar, we use Google user data only to connect your account, remember the connected calendar, and create, update, or delete calendar events for scheduled job visits from Tree Service Software.

We do not use Google user data to send product updates, marketing messages, advertising, retargeting, personalized ads, analytics, generalized product improvement, credit decisions, lending decisions, data brokerage, sale to third parties, or any purpose unrelated to providing the Google sign-in or Google Calendar functionality you enabled. We do not use Google user data to train artificial intelligence or machine learning models.

Tree Service Software's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. Data Sharing and Disclosure

For information that is not Google user data, we may share, transfer, or disclose information with service providers that help us operate Tree Service Software, such as hosting, database, storage, security, analytics, email, SMS, payment, customer support, and infrastructure providers, under confidentiality and data protection obligations.

For Google user data, we share, transfer, or disclose it only in the following limited situations:

• With Google, at your direction, when you connect Google Calendar and ask Tree Service Software to create, update, sync, or delete job visit events in your Google Calendar.
• With infrastructure, hosting, database, storage, and security service providers when necessary to operate and secure the Google sign-in or Google Calendar functionality, under confidentiality and data protection obligations.
• With our employees, contractors, or support personnel only when access is necessary to provide support you request for the Google integration, maintain the integration, investigate security or abuse issues, or comply with legal obligations.
• When required by law, legal process, or to protect the rights, safety, and security of users, Tree Service Software, or others.
• As part of a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, subject to appropriate notice and protections required by law and applicable Google API policies.

We do not share Google user data with advertising platforms, data brokers, or information resellers.

5. AI Services

Tree Service Software does not operate its own artificial intelligence model. We currently use OpenAI as a third-party AI service provider for optional CRM help responses and optional Facebook post copy suggestions.

We do not automatically send Google user data obtained through Google APIs to OpenAI. If you voluntarily type Google-related information into an AI-assisted help or copy-generation field, that text may be processed by OpenAI to provide the requested response. We do not use Google user data to train our own AI models or third-party AI models.

6. Analytics and Tracking

We may use privacy-friendly analytics tools like Microsoft Clarity or Fathom to understand how visitors use our site. These tools do not store personally identifiable information.

7. Cookies

We may use cookies to make the website work correctly and improve user experience. You can disable cookies in your browser if you prefer.

8. Email Communication

If you sign up, you’ll receive occasional product updates. You can unsubscribe at any time. We’ll never spam you or sell your address.

9. Data Security

We take reasonable precautions to protect your information. While no system is 100% secure, we use HTTPS, access controls, encryption where appropriate, and standard protections to guard your data. Google OAuth refresh tokens are encrypted at rest.

10. Data Retention and Deletion

We keep information for as long as needed to provide the service, comply with legal obligations, resolve disputes, maintain security, and enforce our agreements. If you disconnect Google Calendar, we remove the stored Google Calendar connection token from Tree Service Software and stop syncing future job visits to Google Calendar. Events that were already created in your Google Calendar may remain in your Google account unless you delete them or use the product's available disconnect or sync controls.
